How to schedule Instagram posts, Reels and Stories

Instagram's own scheduler, when you need more, and a week of posts planned in one sitting.

Posting on Instagram every day is hard when you are also packing orders and answering DMs. Scheduling fixes that: you write a week of posts in one sitting, and they go out on time while you get on with the shop. This guide covers the ways to schedule Instagram posts, Reels and Stories, what Instagram's own tools do and do not do, and how to plan Instagram alongside your other networks in Karobar Social Content.

What Instagram and Meta offer built in

You do not need another tool to schedule a single Instagram post. Meta gives you two ways:

  • The Instagram app. A public Instagram account can schedule Reels, photos and carousels from the app, up to 25 posts a day and up to 30 days ahead, according to Instagram's help page. Product tags, collaborative posts, sponsored posts and fundraisers cannot be scheduled. Scheduled items wait in a Scheduled content list, where you can change them.
  • Meta Business Suite. On a computer or in the Business Suite app you can save, schedule and reschedule posts for your Facebook Page and Instagram account, and the mobile app can also schedule stories. A calendar shows what is planned.

Meta changes these screens often, so check the current limits in your own app before you plan around them.

When the built-in tools are not enough

The built-in tools work well for one Instagram account. They get harder when your shop also posts on TikTok, LinkedIn, YouTube or Google, or when more than one person writes the posts:

  • One calendar for every network. Your Instagram plan sits in Meta's calendar, your TikTok plan in TikTok's, and so on. A sale that runs everywhere has to be set up several times.
  • A real approval step. When a teammate writes posts, you want to read them first, leave a note, and see exactly what changed in the next version.
  • What happens after posting. Comments land in each app separately, and a buyer who writes "price?" under a Reel waits until someone notices.

How to schedule an Instagram post in Karobar, step by step

  1. Connect Instagram once in Settings → Channels. See Connect Instagram and Facebook.
  2. Open Social Content and click New post. Tick your Instagram account, and any other accounts the post should go to.
  3. Write the caption. Keep one caption everywhere, or switch Instagram to its own version.
  4. Add photos or a video. Drag them into order; the first one is the cover.
  5. Under Post as, choose Post, Carousel, Reel, Story or Trial reel.
  6. Pick a date and time, or Post & repeat to send it again on a schedule.
  7. Press Schedule. The post appears in the calendar, where you can drag it to another time.

Every option in the composer is described in Create and schedule a social media post.

Which format to schedule

FormatGood for
Post (single photo)A clear product shot with the price and how to order.
CarouselA collection, colour options, a size guide, or before and after.
ReelShowing the product in use, unboxing, behind the scenes. Reels are how new people find you.
Trial reelTesting an idea on people who do not follow you yet, before your followers see it.
StoryToday's offer, new stock, a quick poll. Stories are for people who already follow you.

With a trial reel, Karobar lets you choose whether Instagram shares it with your followers automatically if it does well, or whether you decide later.

Get the caption and details right before it goes out

  • Open with the hook. Only the first line or two shows before "more". Put the product and the reason to care there.
  • Hashtags with a purpose. A few specific tags beat thirty generic ones. Karobar checks the caption against Instagram's limits of 30 hashtags and 20 @mentions, so a post never fails at the last moment.
  • First comment. Put extra hashtags or a link in the first comment; Karobar posts it right after the post.
  • Alt text and tags. Describe the picture for people who cannot see it, and tag people by tapping the photo where they are.
  • Collaborators, music and location. Invite a collaborator so the post also shows on their profile when they accept, add licensed music from Instagram's library, and add a location.

Not sure what to write? Write with AI drafts a caption from your photo or a few words, in the voice set in your brand kit. You read and change it before anything is posted.

Plan a week in one sitting

A pace you can keep matters more than a big number. Many small shops do well with something like this, adjusted to how much new stock and how many photos they have:

DayFeed or ReelStory
MondayNew arrival ReelPoll: which colour next?
WednesdayCarousel: the collectionBehind the scenes
FridayCustomer photo or reviewWeekend offer with a reminder
Every dayA quick story when stock comes in

Write the week's posts on one morning, schedule them, then leave Stories for the moment. For a whole month, see How to build a social media content calendar.

After the post goes out

  • Answer comments in one place. Comments on your Instagram posts arrive in the Karobar Comments inbox next to Facebook, TikTok, LinkedIn and YouTube.
  • Turn "price?" into a DM. Add an automation to the post so people who comment a word such as PRICE get your link by DM. See Instagram comment to DM.
  • See what worked. The Content tab shows every post with its reach, views and engagements, and Reuse in new post starts the next one from a post that did well.

Mistakes to avoid

  • Scheduling and forgetting. A scheduled post still needs someone watching the comments for the first hour.
  • The same crop everywhere. A square photo looks small as a Reel cover and a vertical one gets cut in the feed. Use the editor's shape tools per format.
  • A sale post that outlives the sale. Check the calendar when an offer ends and move or delete the posts that mention it.
  • Posting only when there is time. Gaps of two weeks followed by five posts in a day confuse followers. Plan less, but keep it steady.
