Add products and manage stock

Add products, import a spreadsheet, and keep stock right across warehouses.

Your products in Karobar are what Karobar AI quotes from when it drafts a reply, and what your team picks when it records an order. This page covers adding them and keeping stock right. Why a complete product list makes AI replies accurate is in How to get accurate AI replies from your own product catalogue.

Add products

Open Commerce → Inventory. The Products tab lists everything; click a row to see and edit it. Each product has a name, price, photos, description, category, brand, SKU, stock and status (Active, Draft or Inactive).

Variants cover sizes, colours and the like. Each variant has its own option value, SKU, stock and price adjustment, and the product's total stock is added up from its variants.

Import from a spreadsheet

  1. On the Products tab, click Import and choose a CSV, TSV, TXT or Excel file. Download sample CSV shows the layout.
  2. Choose column headings: match each Karobar field to a column in your file. Name and Price are required; everything else is optional, and you can map extra columns to custom fields. Karobar suggests matches and marks the ones to check.
  3. Review import: see how many products and variants it will create, how many have images, and which rows will be skipped.
  4. Start the import. When it finishes, download the failed rows as a CSV, fix them and import them again.

Use Export products CSV for a copy of your whole list.

Keep stock right

  • Warehouse tab: add each place you keep stock, with its address, manager and a Google Maps link, and choose a default warehouse. A warehouse that still holds stock cannot be deleted.
  • Stock tab: record a Stock purchase when goods arrive, or a Stock return when they go back. Pick the supplier and warehouse, add product lines with quantity and unit cost, save a draft, then Confirm & post stock to update the numbers. Each document can be downloaded as a PDF.
  • Low stock: set a low-stock alert on a product, and use the Low Stock view to see what runs out soon.

Stock changes when you confirm a purchase or return, or edit a product's stock. Unit costs also feed the profit and margin report; see Build and schedule a business report.

Selling on WhatsApp

Your products can also fill your WhatsApp catalogue. How to keep the two in step, and turn catalogue carts into orders, is in How to sell from a WhatsApp catalogue. Recording orders from chats is in How to take orders from Instagram DMs.

Only Name and Price. Map any other columns you have, such as SKU, stock, images or variants.

No. It uses stock to avoid offering something that has sold out, but it does not quote exact counts.
