Give each person who answers customers their own Karobar login. You choose what each one can open, and Karobar shares new chats, orders and comments out between them. Ideas for running a shared inbox day to day are in How to run Instagram, WhatsApp and TikTok messages from one inbox.
Add a team member
- Open Settings → Teams and click Add team member.
- Enter their name and email, and a mobile number if you like.
- Choose their Module access: the parts of Karobar they can open, such as the inbox, comments, leads and orders, or Social Content.
- Save. They receive an invite and show as Invite pending until they sign in. Use Resend invite if it went missing.
They can sign in on the web or in the Karobar app on their own phone. How many members you can add depends on your plan.
Decide how new work is shared out
Open the Assignment tab in Settings → Teams:
- Chats: a new conversation goes to the next teammate in turn, and a returning customer goes back to the person they spoke with before. Teammates set to Away are skipped.
- Orders: WhatsApp carts and other orders nobody is handling go to the next teammate with access to leads, in turn.
- Posts: comments on posts are shared out to teammates with access to comments.
- Customer waiting alert: when a customer has had no reply for the time you choose, everyone who is not Away gets a notification. Nothing is reassigned.
- Share out now: after adding teammates, hand every open chat that nobody has to the team in turn.
Day to day
- Anyone can pass a chat on to a teammate or ask to take one over.
- Team members switch themselves to Away in the inbox when they are off, so new chats go to others.
- Team workload in Settings → Teams shows who has which chats, how many are waiting, and how quickly each person replies.
When someone leaves
In Settings → Teams, deactivate or remove the member. Karobar asks what to do with their chats and posts: share them out to the others automatically, or reassign them yourself. Deactivating keeps their record so you can switch them back on later.
