# What is a WhatsApp CRM, and how do you choose one?

A plain explanation of WhatsApp CRMs, the features that matter for chat sellers, and how to compare them.

A WhatsApp CRM is software that lets a business run its customer conversations on WhatsApp as a team, and keeps a record of who each customer is and what they have asked for. CRM stands for customer relationship management. On its own, the WhatsApp Business app is a good start for one person on one phone. A WhatsApp CRM is what you move to when several people answer the same number, when customers also write on Instagram or TikTok, or when chats turn into orders you have to track.

This guide explains what a WhatsApp CRM does, which features matter if you sell in chat, the rules from WhatsApp that every tool must follow, what it costs to run, and the questions to ask before you pay for one. ## A plain definition

Think of a WhatsApp CRM as three things joined together. The first is a **shared inbox**: one place where your whole team sees and answers the chats on your business number. The second is a **customer record**: each person has a profile with their name, number, labels, notes and the history of what you discussed. The third is a set of **tools around the chat**: automatic replies, message templates, broadcasts and, for sellers, orders.

To connect a CRM to a business number, tools use the official WhatsApp Business Platform, also called the Cloud API. That connection is what allows several people to log in at once, which the phone app does not. It is also why Meta's pricing and messaging rules apply to every WhatsApp CRM in the same way.

## What a WhatsApp CRM should do for a shop that sells in chat

Features differ a lot between tools. For a shop whose customers ask, confirm and pay in the conversation, this is the list worth checking.

- **A shared inbox across channels.** WhatsApp plus Instagram, Messenger and TikTok, so a customer who changes app does not become a new stranger. In Karobar this is the [unified inbox](https://karobar.io/features/unified-inbox).
- **Contacts and labels.** You should be able to tag a chat as a new lead, a paid customer or a delivery issue, and filter by it later.
- **Assigning chats.** Each chat has an owner, so two people do not answer the same customer.

## WhatsApp's rules that any CRM must follow

No tool can bypass WhatsApp's rules. A good one makes them visible so your team does not break them by accident.

1. **The 24-hour window.** When a customer messages you, a window opens for 24 hours and resets with each new customer message. Inside it you can send free-form messages. 2. **Approved templates.** Anything sent outside the window must use a template that Meta has approved. Write your set before you need it, because a new one can take time to be approved.
3. **Opt-outs.** If a customer asks you to stop, stop. A CRM should record the request. Karobar treats words such as STOP and UNSUBSCRIBE as an opt-out and confirms it to the customer.
4. **Charges.** Meta charges businesses per message. From 1 October 2026 each business phone number gets 1,000 delivered service messages a month free, and Meta charges from the 1,001st. Utility templates sent inside the 24-hour window are charged as well.

The free allowance resets, it does not roll over

Meta's [pricing page](https://developers.facebook.com/documentation/business-messaging/whatsapp/pricing) says unused service messages in the free tier do not carry into the next month, and that a number without a payment method stops delivering service messages once the free tier is used. Its [page on non-template messages](https://developers.facebook.com/documentation/business-messaging/whatsapp/pricing/non-template-messages) says service message rates match utility and authentication rates in each market. Check both pages for your country before you plan a high volume.

## What a WhatsApp CRM costs to run

The cost has two parts, and they are billed by different companies in most setups.

So a low subscription is not the whole price. Ask any vendor two things: how Meta's charges reach your bill, and whether they add anything on top. Then estimate your month: how many customers will message you, how many templates you will send, and how many replies fall inside the window. ## Questions to ask before you buy

| What happens to Meta message charges? | They are usually paid on top of the subscription. |
| Can an order be created and tracked from a chat? | Without it you will copy details into a sheet. |
| Can I import contacts and my catalogue? | Switching is easier if your data comes with you. |
| Does the tool show the 24-hour window and template status? | It prevents messages that fail without anyone noticing. |
| Who sends the AI replies? | Check whether AI drafts for a person or sends by itself, and whether you can turn it off. |
| Is there a trial, and do I need a card? | Run real chats through it before you pay. |

### Is a WhatsApp CRM the same as the WhatsApp Business app?

No. The Business app is built for one phone. A WhatsApp CRM connects through the official Business Platform so a team can share a number, assign chats, keep customer records and use templates, broadcasts and automation.

### Do I need a WhatsApp CRM if I only have two staff?

Not always. It becomes worth it when two people need the same inbox, when customers also write on Instagram or TikTok, or when you want orders and follow-ups saved against each chat.

### Will a WhatsApp CRM remove Meta message charges?

No. Meta charges businesses per message on the official platform, and from 1 October 2026 that includes service messages after 1,000 a month per business number. A CRM adds its own subscription on top.

### Can a WhatsApp CRM message customers at any time?

Only inside the 24-hour window with free-form messages. Outside it, you can send an approved template. Customers who opted out should not be messaged.
