# How to build a social media content calendar you can actually keep

Themes, a pace you can keep, a monthly planning session, approvals and a monthly review.

Updated 15 October 2026 · 4 min read

A social media content calendar is simply a plan of what goes out, where and when. Without one, posting happens when someone remembers, sales get announced the day they start, and the feed goes quiet in the busy weeks when it matters most. This guide shows how to build a calendar a small team can actually keep: themes, a pace, a monthly planning session, an approval step and a way to learn from what worked. The examples use [Karobar Social Content](https://karobar.io/features/social-content), but the method works anywhere.

## Why a calendar beats posting when you can

- **You plan around your business.** Launches, sales, holidays and stock arrivals are in the plan weeks ahead, not on the morning.
- **The mix stays balanced.** You can see at a glance that the last ten posts were all discounts.
- **Work is shared.** A teammate can write posts in advance and you can approve them in one sitting.
- **You learn.** With posts planned on purpose, it is easier to see which kinds of post bring messages and orders.

## Step 1: Choose four or five themes

Themes stop the blank-page problem. Each week, fill each theme once. For a shop, these usually work:

| Theme | Examples |
| --- | --- |
| New and in stock | Arrivals, restocks, a product close-up. |
| Show it in use | Try-ons, demos, how-to videos. |
| Proof | Customer photos, reviews, orders being packed. |
| Behind the scenes | The team, the workshop, sourcing trips. |
| Offer | Sales, bundles, free delivery days. Keep this to about one post in five. |

Write your themes into the **Content themes** section of your Karobar brand kit, so **Write with AI** keeps to them. See [Set up your brand kit](https://karobar.io/help/set-up-your-brand-kit).

## Step 2: Set a pace you can keep

Start smaller than you think. A steady pace for a month beats a burst for a week. A realistic starting point for a small shop:

| Network | A pace many shops can keep |
| --- | --- |
| Instagram | Three feed posts or Reels a week, plus Stories on the day. |
| Facebook | The same three, adjusted for the audience. |
| TikTok | Three to five short videos a week. |
| YouTube Shorts | Your best vertical videos, two or three a week. |
| LinkedIn | Two posts a week if you sell to businesses. |
| Google Business Profile | One update a week. |

One vertical video can serve TikTok, Reels and Shorts, so the real work is smaller than the table looks. See [How to schedule YouTube Shorts](https://karobar.io/guides/schedule-youtube-shorts).

## Step 3: Plan the month in one session

1. Mark the fixed dates first: sales, launches, holidays, stock arrivals.
2. For each week, give every theme one slot, and put offers next to the dates they belong to.
3. Write the posts, or hand them to a teammate with the plan.
4. Schedule them. In Karobar the calendar shows the month, week or day, and you can drag a post to move it. See [Use the content calendar](https://karobar.io/help/use-the-content-calendar).
5. Leave a few gaps for things that happen on the day: a trend, a big order, a customer's photo.

For a sale or a launch, group its posts as a **campaign**: you choose the times first, give each time a post, and switch the whole campaign on when it is ready. See [Plan a social media campaign](https://karobar.io/help/plan-a-social-media-campaign).

## Already plan in a spreadsheet? Upload it

Many teams draft the month in Excel or Google Sheets. Keep doing that: fill one post per row in Karobar's sample sheet, save it as CSV and upload it. Karobar checks every row and shows what needs fixing before anything is created, up to 500 posts per file. Rows without a date go into your next free posting times. See [Bulk upload social media posts from a spreadsheet](https://karobar.io/help/bulk-upload-social-media-posts).

## Step 4: Add an approval step

When more than one person writes posts, decide who signs them off. A simple workflow:

- **Writers** prepare posts and send them for approval a few days before they are due.
- **One approver** checks them in a single sitting: the facts, the price, the picture, the timing.
- **Notes, not rewrites.** Send a post back with what should change, so the writer learns for next time.
- **A quick check list:** right price, product in stock, offer dates correct, no typo in the first line, link works.

In Karobar you choose per person who posts directly and who needs approval, and the approver sees what changed since the last version. See [Set up social media post approvals](https://karobar.io/help/set-up-post-approvals).

## Step 5: Review the month and keep what works

1. At the end of the month, open your posts with their results. In Karobar the **Content** tab lists every post on your accounts with its reach, views and engagements.
2. Look for patterns: which theme brought comments and messages, which format travelled furthest.
3. Reuse the winners. **Reuse in new post** starts a fresh post from one that worked.
4. Adjust next month's themes and pace, and drop what nobody responded to.

For a written summary you can share, the **Page performance** report covers reach, posts and growth for your pages; see [Build and schedule a business report](https://karobar.io/help/build-a-business-report).

## Mistakes to avoid

- **Planning more than you can make.** An empty calendar slot is better than a rushed post.
- **Only offers.** A feed of discounts trains followers to wait for the next sale.
- **No one on comments.** Scheduled posts still need someone answering the comments they bring.
- **Never looking back.** A calendar that is not reviewed repeats the same mistakes every month.

FAQ

## Questions? Answers.

Any other questions? [Ask support](https://karobar.io/support).

### What should a social media content calendar include?

For each post: the date and time, the network, the theme, the caption, the picture or video, and who wrote and approved it. A tool fills most of this in for you.

### How far ahead should I plan?

A month is a good rhythm for most shops, with gaps left for things that happen on the day. Plan big sales and launches further ahead.

### Can I keep using my spreadsheet?

Yes. Plan in the sheet, then upload it to Karobar as a CSV to schedule up to 500 posts at once.

### How do I stop the calendar becoming all promotions?

Use themes and keep offers to about one post in five. Proof, behind the scenes and how-to posts make the offers work better.
