# How to reply to Google reviews, good and bad

What to write back to happy and unhappy customers on Google, and a routine that keeps every location answered.

A Google review is the first thing many people read before they walk into a shop or send a message. The stars matter, but so does what sits underneath them: the reply. A calm, specific answer to a happy customer tells new readers that someone is paying attention. A calm answer to an angry customer tells them how you behave when things go wrong.

Most owners know they should reply and then never get to it, or they reply in a rush and say something they regret. ## Why replying is worth the time

You are not only writing to the reviewer. Every reply is read by the next person deciding whether to visit. That reader is looking for three things:

- **Is the business alive?** A recent reply shows that a real person is there.
- **How are problems handled?** A polite, practical answer to a complaint can reassure more than a page of five-star reviews.
- **What does the shop actually do?** A reply that mentions the product, the service or the fix gives readers real information.

Replying also gives you a second chance with the reviewer. Many unhappy customers soften when they see their problem acknowledged, and some update their review once it is solved. That is never guaranteed, so write each reply to be useful to readers even if the reviewer never comes back.

## Rules that apply to every reply

Whatever the star rating, a good reply follows the same few habits:

1. **Thank them by name if the review shows one**, using the name exactly as Google displays it. Do not guess at details the review does not give.
2. **Mention one specific thing** from the review, such as the item they bought or the service they received. It proves you read it.
3. **Keep it short.** Two to four sentences is enough. Long replies read as defensive.
4. **Write as a person.** Avoid copy and paste lines that appear under every review. Readers notice.
5. **Sign off with a next step** when one exists, such as inviting them to message you or to visit again.

Match the language of the review where you can. If a customer writes in Urdu or Arabic, a reply in the same language feels personal and is easier for them to read.

## What never to write in a reply

Replies are public and permanent, so a few things are off limits however frustrated you feel:

- **Private details.** Do not mention an order number, an address, a phone number, a medical or financial detail, or what exactly the person bought if it is sensitive. Move that conversation to a private channel.
- **Arguments.** Do not tell a reviewer they are wrong, lying or confused, even if you have the records. Say what you will check and invite them to contact you.
- **Incentives for reviews.** Do not offer discounts, gifts or refunds in exchange for a new or changed review. Google's rules forbid it, and readers can see it. Fix the problem because it is the right thing to do, and let the review take care of itself.
- **Blame.** Naming a staff member or a courier in public rarely helps. Own the problem as a business.
- **Threats and sarcasm.** They tend to get screenshotted and shared.

A useful test

Before you publish, ask whether you would be comfortable if the reply were printed on your shop window. If not, rewrite it.

## Example replies you can adapt

These examples are for a generic shop. Change the details to fit your business and your own voice rather than pasting them as they are.

Notice that none of the samples argue, name a person or promise anything in return for a changed review.

## Positive, mixed and negative reviews

**Positive reviews.** Reply to these too, not only to complaints. A short thank you with one detail is enough. Do not turn it into an advertisement.

**Mixed reviews.** Three and four star reviews are often the most useful, because they are specific and fair. Thank the customer for both parts of the review. Acknowledge the weak spot honestly, say what you are doing about it if something is true, and leave the praise standing.

**Negative reviews.** Wait a little before you write. Read the review twice, check what really happened, then reply in a calm voice. Apologise for the experience, not for facts you have not confirmed. State what you will do, and move the details to a private conversation. Remember that you are writing for everyone who reads it later, not only for the person who is angry today.

If a review is fake, abusive or about a business that is not yours, do not argue in the reply. Report it to Google through your Business Profile and keep your public answer polite while you wait.

## How fast to reply, and how to handle several locations

There is no official deadline, but a reply within a day or two looks attentive, while a reply months later looks like an afterthought. Negative reviews deserve priority. For positive ones, a weekly pass is fine.

With several locations the trouble is volume and ownership. Decide who answers which location, agree one tone for the brand, and keep a short list of phrases you never use. A branch manager often knows what happened and should supply the facts, while one person writes the final words so the voice stays consistent. Track each location separately, because one branch with a pile of unanswered reviews can hide behind a healthy overall average.

Check before you send

Read each draft against the rules above. Remove anything that sounds like a promise you cannot keep, and make sure no private detail slips in.

## A simple routine

1. Open the reviews and filter for no reply yet.
2. Start with the lowest star ratings and answer those first.
3. Move any detailed complaint into a private chat, and note what you promised.
4. Reply to the positive reviews with a short, specific thank you.
5. Look at each location's average rating and unreplied count, and pass any problem to the branch manager.

Ten minutes a day is usually enough for one location. Keep it regular and the backlog never builds.

### Should I reply to every Google review?

Aim to, with priority on negative and mixed reviews. A short, specific thank you on positive reviews is enough. What matters most is that readers can see a real person answering.

### Can I offer a discount if the reviewer changes their review?

No. Offering something in exchange for a new or edited review goes against Google's rules. Solve the problem privately and let the customer decide what to write.

### Why does a new review take a while to show in Karobar?
