# How to run multiple WhatsApp numbers for one business

Why businesses split numbers, Meta's limits, and keeping every number in one inbox.

Updated 15 October 2026 · 4 min read

One WhatsApp number works until it does not. Sales chats get buried under delivery questions, two branches share one phone, or a second country needs a local number. Running multiple WhatsApp numbers fixes that, as long as the numbers do not turn into separate islands. This guide explains why businesses split numbers, the limits Meta sets, how to keep every number in one inbox with [Karobar](https://karobar.io/platforms/whatsapp), and the mistakes that make customers feel lost.

## Why businesses use more than one number

| Split | Example |
| --- | --- |
| Sales and support | New buyers write to the sales line; delivery and returns go to support. |
| Branches | Each shop or city has its own number, so customers reach the nearest team. |
| Countries | A local number for each country you sell in, so customers do not message abroad. |
| Brands | Two brands from one company, each with its own name and profile. |
| Marketing and service | Broadcasts go out from one number, so a drop in its quality does not hurt the line customers rely on for help. |

The last one is worth thinking about. Each number has its own [quality rating](https://www.facebook.com/business/help/896873687365001), based on how people react to your messages. Keeping marketing apart protects the number your existing customers use.

## The limits Meta sets

- According to Meta's documentation on [WhatsApp accounts](https://developers.facebook.com/documentation/business-messaging/whatsapp/whatsapp-business-accounts/), a business starts with up to two registered business phone numbers, and the limit can be raised to 20.
- Meta's page on [business phone numbers](https://developers.facebook.com/documentation/business-messaging/whatsapp/business-phone-numbers/phone-numbers) says the limit rises to 20 automatically once your business is verified or reaches a messaging limit of 2,000.
- Every number has its own display name, profile, quality rating and messaging limit.

Meta changes its account structure from time to time, so check the current numbers in its documentation before you plan a large rollout.

## App link or API, number by number

Each number can be connected in its own way. A number whose owner still wants the WhatsApp Business app on the phone can be linked with coexistence, while a new support line can run on the API only. The trade-offs are explained in [WhatsApp Business API explained](https://karobar.io/guides/whatsapp-business-api-explained), and the steps for each are in [Connect WhatsApp](https://karobar.io/help/connect-whatsapp).

## Keep every number in one inbox

The danger of several numbers is several phones: chats get missed, and nobody knows which customer was promised what. In Karobar every connected number arrives in the same inbox:

- **One list, every number.** Each chat shows which number it came in on, and you can narrow the list to one account.
- **Team sharing.** New chats are shared out to teammates in turn, and a returning customer goes back to the person they spoke to before. See [Add team members and share out the work](https://karobar.io/help/add-your-team).
- **Templates and broadcasts per number.** Meta approves templates for each WhatsApp account, so Karobar keeps them, and your broadcasts, per number.
- **One customer record.** Labels, notes and orders stay with the customer, whichever number they used.

How many numbers you can connect in Karobar depends on your plan.

## Setting up a second number, step by step

1. Decide what the number is for, and write one sentence customers will see on its profile, such as "Orders and delivery questions".
2. Choose a clear display name. Meta reviews display names, so use your real business name, with the purpose if it helps: "Noor Libas Support".
3. Connect it in Karobar under Settings → Channels, the same way as the first number.
4. Create the templates it needs, such as order updates on the support line. See [Create a WhatsApp message template](https://karobar.io/help/create-a-whatsapp-template).
5. If chat history lives in another tool, import it. See [Move your WhatsApp chats from WATI or respond.io](https://karobar.io/help/import-whatsapp-chats-from-wati-or-respond-io).
6. Tell customers which number to use for what: on your website, Instagram bio, invoices and the old number's profile.

## Send customers to the right number

- **Click-to-chat links.** Use a separate wa.me link for each number on your website and social profiles. The free [WhatsApp link generator](https://karobar.io/tools/whatsapp-link-generator) makes them with a pre-filled message.
- **Order messages.** Send order updates from the support number, so replies about delivery land with the right team.
- **Ads.** Point click-to-WhatsApp ads at the sales number only.
- **A handover line.** If someone writes to the wrong number, answer once and share the right link; do not leave them waiting.

## Decide who answers which number

More numbers only help if each one has owners. Before you launch a second line, write down who covers it, and when:

- **Sales line:** the people who know the products and can take an order from the chat.
- **Support line:** the people who can check a courier, arrange a return and calm an unhappy customer.
- **Out of hours:** who looks at urgent chats in the evening and on holidays, and what customers are told.
- **Holidays and leave:** teammates set themselves to Away in the inbox, so new chats go to whoever is working.

Review the split after a month. If one line is overflowing and the other is quiet, move people, not customers.

## Mistakes to avoid

- **Numbers on separate phones.** Without one inbox, chats on the quieter number get forgotten.
- **Broadcasting from the support line.** If people block your offers, the number your customers need for help loses quality.
- **Unclear profiles.** If two numbers look identical, customers pick at random.
- **Too many numbers.** Each one needs templates, people and attention. Start with two, and add more only when a team is ready for it.

FAQ

## Questions? Answers.

Any other questions? [Ask support](https://karobar.io/support).

### How many WhatsApp numbers can one business have?

Meta starts businesses with up to two registered numbers and raises the limit to 20 once the business is verified or reaches a 2,000 messaging limit. Your Karobar plan sets how many you can connect there.

### Can all my WhatsApp numbers be in one inbox?

Yes. In Karobar every connected number arrives in the same inbox, and each chat shows which number it came in on.

### Do templates work across numbers?

Templates are approved by Meta per WhatsApp account, and Karobar keeps them per number. Create the ones each number needs.

### Can one number stay on the WhatsApp Business app?

Yes. Link it with coexistence and it keeps working on the phone, while other numbers can run on the API only.

### Should broadcasts go out from a separate number?

Often, yes. Each number has its own quality rating, so sending offers from a separate line protects the number customers use for help.
